How to Design Effective Event Signage

Prioritize One Message

The most important word or arrow should read from across the room; supporting text can be smaller.

Size for Distance

As a rule of thumb: about one inch of letter height for every 10 feet of viewing distance. Wayfinding gets read on the move, so size up.

Keep It Consistent

Same fonts, colors and logo treatment across every piece so the event reads as one brand.

Contrast Wins

High contrast between text and background beats a pretty palette no one can read.

Two mistakes come up again and again: crowding the sign with too much copy, and sizing it too small for the space it has to work in. When we proof a design, part of our sign design and creative process, we can review it at size and from a realistic viewing distance before it goes to print.

Match the Material

Indoor vs. Outdoor Event Signage

Indoor pieces prioritize finish and print quality: fabric backdrops, foam board signs, smooth-print retractable banners and floor decals rated for interior floors. Outdoor pieces prioritize durability: heavier vinyl or mesh banners, where the open weave lets some air through and can help reduce wind load, weighted feather flags and UV-stable inks that hold color in the sun.

If a piece will live outside, tell us up front so we can specify materials and installation methods suited for outdoor conditions, with the same attention to Florida coastal conditions as our outdoor signs.

Event Signage FAQ

Event signage is the collection of temporary signs, banners, displays and graphics used to brand, direct and inform attendees at an event. It includes entrance banners, backdrops, wayfinding and directional signs, floor decals and registration signs. The goal is to make the event easy to navigate and consistently branded.

At an event, signage generally splits into two types: branding signage and wayfinding signage. Branding signage (banners, backdrops, sponsor walls) reinforces identity; wayfinding signage (directional signs, floor decals, room IDs) helps people move through the space. Most events use both together.

Event signage pricing depends on size, materials, quantity, finishing, installation requirements and turnaround time. Contact us with the details of your event and we will provide a quote based on your specific needs.

For outdoor signage, heavy vinyl or wind-resistant mesh banners with UV-stable inks hold up best, along with weighted feather flags. These materials resist wind, rain and fading. Tell your sign provider a piece is going outside so it is built for the weather.

Order two to four weeks ahead for most events to allow time for design, proofing, printing and delivery. Large or custom pieces like backdrops and displays need more lead time. Rush production is often possible but usually costs more.

Event banners are fully customizable, but common sizes are 2×4 ft and 3×6 ft for retractable stands and 4×8 ft or larger for stage and entrance banners. We size each banner to the space and viewing distance rather than forcing a stock size.
